Frequently Asked Questions

1.      How long does it take for me to receive my Tax refund?

Once we have received all of the information we need to start your tax reclaim, it usually takes on average 6-8 weeks in total for you to receive your refund. The process includes us:

  1. Setting you up on the HMRC system

  2. Putting your claim together, including mileage calculations

  3. Obtaining an approximate calculation from HMRC for your approval

  4. Sending off your claim to HMRC

  5. Receiving your refund

  6. Sending your funds across to you.

 

2.      Is there anything I can do to speed up the process?

Once you have been qualified to potentially be eligible to claim. The best thing to do is have the following things readily available to send across to us:

  1. Register for self-assessment to obtain a UTR – Fill out this form and send it to info@hbtaxgroup.co.uk  

  2. Signed Agent Authorisation form to allow us to act on your behalf Sign up at the bottom of www.hbtaxgroup.co.uk

  3. P60s for the years you are claiming for emailed to – info@hbtaxgroup.co.uk

  4. Receipts for any items you purchased for work emailed to – info@hbtaxgroup.co.uk

  5. Assignment forms emailed to – info@hbtaxgroup.co.uk

  6. Sign our Client Engagement Agreement

3.      I don’t have a UTR, what do I do next?

If you don't have a UTR number yet, please complete the following form to obtain one - https://www.tax.service.gov.uk/shortforms/form/SA1

Alternatively, we can post a paper copy of the form if preferred. You will then receive a UTR number within 4-6 weeks.

 

4.      How do I know that I am eligible for a tax refund?

Please take the time to fill in our Qualification Form on the website and we will come back to you in 48 hours

 

5.      What are HB Tax Group prices?

Our standard fees are calculated as follows:
25% +VAT -    For all Tax refunds 
£150 +VAT flat fee -    This is our minimum fee per tax year, where the client has a smaller refund or  already owes tax and we work to reduce claiming tax relief on expenses.
£275 +VAT -    Where the client is self-employed or receives income from property. This is our charge for processing your self-assessment return. If a refund is due, our % of refund above applies if higher than £275+VAT
£110 +VAT -    Manual Mileage Calculation Charge (Where applicable)

6.      What if I don’t have my P60s?

If you do not have your P60s to hand that is not a problem, we will request online activation of your HMRC income viewer - all you need to do is click the link we provide you and authorise us via your gateway.

 

7.      What is the difference between a Tax refund and a Tax return?

To obtain a tax refund, we need to put through a tax return. Not all tax returns result in a tax refund, depending on the reason you are completing one and if your employer has you on the correct tax code.

 

8.      Will this affect my tax code?

HB Tax Group will check your tax codes periodically to ensure no change has been made. We are claiming on previous tax years, which should not affect the current tax year.

 

 9.     Will I end up owing?

If you owed as a result of you not being on the correct tax code before joining us, we can try and reduce whats owed through expenses.

 

10.     My friends and colleagues want to use your services how do I get them in touch?

Military FAQs

1. I have left the armed forces, is it too late for me to get a tax refund?

 

No, it’s not too late. If you have left the armed forces within the last 4 years you may be entitled to claim for a tax refund.

 

If you provide us with all the information we need, including assignment forms and any allowance details, we can process your claim as accurately as possible.

 

2. I live on base, can I claim?

Yes, you can claim if you have another home that is classed as your main residence.

 

Your refund would be based on the commute from your base to your main residence.  If you already receive a Get You Home Travel (GYH) or Home to Duty (HTD) allowance for this, we will review the amounts received against the allowable limits and claim for any shortfall. 3. I’m based overseas, can I claim?

If your main residence is in the UK and you have covered your travel to go out of the country for work purposes you may be entitled to a tax refund. Contact us to find out more information.

 

4.  Can I claim for my mess dress?

You can claim if you are able to provide proof of purchase within the last four tax years as it is a work related expense.

 

5.  I have been at my based for over 2 years, does this mean I can't claim

Not necessarily, if you original assignment was under 2 years, you may be able to claim for this initial period before your base became permanent over 2 years. Also, if you travelled to other bases, training or any other locations for work these can all be considered too.

  1. I am in construction what can I claim for?

  • Travel: Costs for moving between different work sites.

  • Meals: Expenses when you're working away from your usual site.

  • Accommodation: Costs if you need to stay overnight for work.

  • Protective Clothing & Tools: Essential gear required for your job.

 

2. What do you need from me to do a construction reclaim?

When filing a tax refund claim, you'll need to provide evidence to HMRC that you're owed money. This means you'll have to supply:

  • A list of work sites: Detail the locations where you worked and the dates you were there. You can claim expenses for up to four years, so don't worry if you can't pinpoint every detail—we're here to help fill in any gaps.

  • Monthly payslips: Gather your payslips for every tax year covered by your claim.

  • Supporting documents: Provide basic documents such as a photo ID and proof of address. Additionally, include items like MOT certificates for mileage claims and receipts for any work-related expenses.

 

3. I am on the CIS scheme what does this mean for me?

This means your employer/contract deducted a standard flat rate tax off your pay monthly, which could mean you may have over paid tax at the end of the year if you did not benefit from your tax free allowance. We can look at this whilst putting your reclaim through.
